The Jefferson County Fairgrounds is the perfect place to hold your next party, reunion or celebration. Many of our buildings are available for reasonable rents.

Campsites are available at the fairgrounds. If your guests would prefer motel, hotel or bed and breakfast accommodations, there are numerous options within the Port Townsend city limits, and beyond.

The Harborside Inn is the "Official Inn of the Jefferson County Fair." The motel has 63 spacious rooms, each with a private patio and a view of the waterfront.

Oscar Erickson Building

The Oscar Erickson Building is a popular choice for dances, weddings and other such events. Its two halves may be rented independently. The dance hall below has a great wooden floor. The commercial kitchen shares the second half of the building with a large meeting room, with many windows. All are connected.

Jefferson County Fair Facility Use Agreement

This AGREEMENT, made and entered into by and between Jefferson County Fair, a non-profit corporation hereinafter referred to as the “FAIR” and the party listed in EXHIBIT A hereinafter referred to as the “CONTRACTOR”;

In consideration of the terms, conditions, covenants, and performance, contained herein, the parties hereto agree as follows:

1. SERVICES: The FAIR shall rent to the CONTRACTOR the facilities as contained in Exhibit A. The CONTRACTOR agrees to fully comply with all rules, incorporated herein by this reference.

2. DURATION OF AGREEMENT: The term of this Agreement and the performance of the CONTRACTOR shall commence and terminate on dates and times listed in EXHIBIT A. This agreement may be extended or terminated upon mutual agreement between the parties hereto and pursuant to the terms and conditions of this Agreement.

3. COMPENSATION AND METHOD OF PAYMENT: *A $200 DEPOSIT PER EVENT to be applied to rental, or the actual rental fee if less than $200, shall be paid upon execution of this Agreement. Calendar date will not be held without deposit. Remainders of rental fees are due on or before day of event. 30-day notice must be given to cancel this contract and refund of deposit. $50 of this deposit is non-refundable. This deposit will be applied toward contracted services and the CONTRACTOR shall pay the FAIR in full, prior to the event the amount outlined in “EXHIBIT A”.

4. SUBCONTRACTING: The CONTRACTOR shall not assign or subcontract any portion of this Agreement without the express written permission of the FAIR.

5. COMPLIANCE WITH LAWS: The CONTRACTOR, in performance of this Agreement, agrees to comply with all applicable local, state, and/or federal laws and ordinances. The CONTRACTOR agrees to obtain all necessary permits or licenses for the conduct of its activities.

6. HOLD HARMLESS AND INDEMNIFICATION: All services rendered or performed under this Agreement will be performed or rendered entirely at the CONTRACTOR’ S own risk and the CONTRACTOR expressly agrees to hold harmless and indemnify the FAIR and all of its officers, agents, employees, or otherwise, from any and all liability, loss or damage including reasonable costs of defense that they may suffer as a result of claims, demands, actions, or damages to any and all persons or property, costs or judgments against the FAIR which result from, arise out of , or are in any way connected with the services to be performed by the CONTRACTOR under this agreement.

7. INSURANCE: The CONTRACTOR shall carry for the duration of this Agreement, personal injury, property damage, and product liability insurance in the amount of $1,000,000 per occurrence, $2,000,000 aggregate naming Jefferson County Fair additional insured. CERTIFICATE OF INSURANCE MUST BE PROVIDED TO FAIR OFFICE TWO WEEKS PRIOR TO EVENT. Two weeks prior to event, the FAIR will purchase insurance at CONTRACTORS expense if proof of insurance is not on file. Additional coverage may be required depending upon the type of event.

8. AMENDMENTS: Any amendment to this Agreement shall be in writing, signed by both parties and attached to this Agreement.

9. TERMINATION:
A. Termination for Cause: If the CONTRACTOR fails to comply with the terms and conditions of this Agreement and any of the following conditions exist:
i. The lack of compliance with the provisions of this Agreement is of such scope and nature that the FAIR deems continuation of this Agreement to be substantially detrimental to the interest of the FAIR;
ii. The CONTRACTOR has failed to take satisfactory action as directed by the FAIR or its authorized representative within the time specified by same;
iii. The CONTRACTOR has failed within the time specified by the FAIR or its authorized representative to satisfactorily substantiate it compliance with the terms and conditions of this Agreement; then,
B. Termination by Contractor: CONTRACTOR may terminate this Agreement by delivering a written notice of termination to the FAIR no later than thirty (30) days prior to the date specified in EXHIBIT A. the non-refundable deposit shall be forfeited to the FAIR.

10. JURISDICTION:
A. This Agreement has been and shall be construed as having been made and delivered within the State of Washington, and it is agreed by each party hereto that this Agreement shall be governed by the laws of the State of Washington, both as to interpretation and performance.
B. Any action of law, suit in equity, or judicial proceedings for the enforcement of this Agreement or any provisions thereof, shall be instituted and maintained only in any of the courts of competent jurisdiction in Jefferson County, Washington.

11. SEVERABILITY:
A. It is understood and agreed by the parties hereto that if any part, term or provision of this Agreement is held by the courts to be illegal, the validity of the remaining provisions shall not be affected, and the rights and obligations of the parties shall be construed and enforced as if the Agreement did not contain the particular provision held to be invalid.
B. If it should appear that any provision hereof is in conflict with any statute of the State of Washington, said provision that may conflict therewith shall be deemed modified to conform to such statutory provision.

11. ENTIRE AGEEMENT: The parties agree that this Agreement is the complete expression of the terms hereto and any oral representations or understandings not incorporated herein are excluded.

12. WAIVER OF TERMS: It is also agreed by the parties that the forgiveness of the nonperformance of any provision of this Agreement does not constitute a waiver of the provision of this Agreement.

RENTER AGREES TO VACATE PREMISES IN THE SAME OR BETTER CONDITION THAN WHEN LEASED. In the event the premises are vacated in a condition unsatisfactory to The Fair Association due to condition and/or damage to property and/or premises the renter agrees to pay the Fair the cost upon demand for all repairs (PLEASE READ ALL RULES PERTAINING TO DECORATING PER BUILDING).

ATTORNEY FEES: should it become necessary for the Fair to obtain legal counsel to enforce any provisions of this agreement, Renter shall be liable for all reasonable costs incurred by the Fair. This document takes effect when signed by both parties
Building must be secured after event by renter. If building is not secured, renter will be held responsible for any damage due to vandalism.

Clean-up Facility DURING AND AFTER EVENT, key may not be duplicated and must be returned within 24 hrs. after event

FACILITIES RULES
1. The FAIR may provide electrical and garbage service, and may restrict the amount of electrical utility services provided, according to the capability of existing facilities. Additional or other energy sources for heat, light, or power shall be at CONTRACTOR’S expense and must be approved by the FAIR in writing.

2. Any person working in the Facility shall be considered to be an agent or employee of the CONTRACTOR, and not an agent or employee of Jefferson County Fair.

3. CONTRACTOR shall comply with all laws, rules and regulations of all Federal, State and local health departments, electrical codes, and fire ordinances. Any violations shall be corrected immediately by the CONTRACTOR at his expense.

4. CONTRACTOR shall be responsible for keeping the facility and adjacent areas free of papers and trash generated by the event. Upon completion of the event the CONTRACTOR shall be responsible for depositing trash and garbage generated during the event to the designated location, as per the facility specific information sheet.

5. The FAIR retains exclusive rights to all ground privileges.

6. Parking shall be confined to parking lots and/or designated areas on the Fairgrounds. Every effort shall be made by the CONTRACTOR to keep fire lanes surrounding all buildings clear and open at all times. The FAIR may designate areas for parking depending upon event and schedule. The FAIR reserves the right to tow away vehicles at the owners and/or CONTRACTOR’S expense. Handicap Parking spaces are provided and will be strictly enforced by the FAIR and Police Department during major events.

7. CONTRACTOR will follow building specific guidelines for set up, decorating and use during the contracted event.

8. Dogs and other pets must be leashed and under owners control while on grounds. Owners will clean up and pick up after pets. Person’s using Horse facilities are required to abide by rules posted at the Horse Arena.
